Managing your database

Each month we will be sending out a variety of marking to new customers and your database members through a combination of direct mail, email, text messaging and in-house promotions. We may also track any other marketing media you’re currently using by entering the information into the welcomate system.

New Customer Postcards: (Click to view samples)
Each month we select an area within a certain distance from your restaurant and mail those residents a jumbo postcard with a special offer to get them into your restaurant. Each postcard will have a promo code for us to track & measure the results to keep us informed of where your new customers are coming from.
It’s very important to get as many of these customers redeeming the postcards into your membership database!

Each month we select a different group of members from your database and send them a postcard that will get them back into your restaurant, which helps to build their loyalty. You decide what offer to give and when you want them to redeem the offer. For example, we can offer them one free appetizer with any dinner purchase valid on Sunday through Thursday evenings.

Each month we send out emails to targeted groups of your database based on your monthly package.

  • The first email will be sent to your new members welcoming them into your VIP club. We can offer them a special offer valid on your slower nights to get them back into your restaurant quickly.
  • The second email will be sent to your birthday members with a special gift. The best thing about birthdays is that almost nobody dines alone. Our records show that with an average birthday giveaway of $10, the average check is $3.88 higher (after discount) than the normal average restaurant check.
  • The third email will be sent to your half birthday members with a special offer. This is all the members in your database having a birthday in six months. This gives you another good reason to send them an offer to get them into your restaurant, and gives them a good reason to visit your restaurant.

Based on the program you chose, we will send a newsletter email to all your members in the database advertising your special events, introducing new menu items, entertainment or anything you wish to promote. You will need to send us an email with the information you want to use in your newsletter, and we do the rest.

We can add links in the newsletter for your patrons to retrieve coupons, view your most profitable monthly menu selections, visit your website or Facebook page, etc.

Bounce Back Gift Certificates: (Click to view samples)
Each month you will be provided with up to 50 gift certificates we like to use as bounce back offers. These can offered on our new customer postcards in addition to the offer to get them into your restaurant twice.

Text Messages: (Click to view samples)
Each month you will be provided with a certain number of text messages based on your monthly package. To be sure we can send out your text message on time, a 24 hour notice is recommended. Use test text messages for any occasion: late night menu, entertainment, half off appetizers, etc. It’s another good way to communicate with your members and get them into your restaurant during the slower times you really need them.

Each month your manager will upload your welcomate file to the BRS server for us to analyze to ensure the returns on all promotions are on target. After analysis, we will set-up the new promotions for the following month and send the file back to you.
